8 Tips for Great E-Mail Etiquette

As a Virtual Assistant, I send and receive a large amount of e-mail on a daily basis. I can always tell when someone is either in a rush or simply doesn’t like to type. Their messages come through with misspelled words, with little regard for punctuation and grammar. What’s worse is when the tone or meaning of the message isn’t clear.

Here are some easy rules of thumb to keep in mind when you are sending and receiving e-mail, especially for business purposes:

1) Always include a subject. If you are replying to someone else’s message, it’s okay to use what is already in the subject line. If you are the one initiating the e-mail however, you should always include a subject, even if it’s one word or a simple phrase such as “May 1 Meeting” or “Follow-up from Meeting.”

2) Pay attention to punctuation and proper grammar. You may not be the fastest typist in the world, but adding those periods and question marks where they belong will clarify the message you are sending. And don’t forget about using capitalization where needed. Proper grammar goes a long way in helping your message recipient to understand exactly what you’re trying to say.

3) Never use all capital letters. “HOW ARE YOU?” makes it seem as if you are shouting at the person. It’s okay to use caps for things like “ABC Oil Company,” but using them for anything else is not a good idea.

4) Get to the point. Your message should be short and concise. The fewer words you use, the better. No one has time to read long, drawn-out messages.

5) Be careful with attachments. If you attach a huge file to an e-mail, the person on the receiving end may have a hard time opening it or get frustrated when the message takes a long time to download to their e-mail program. Pay attention to the size of the documents you are attaching, and scale them down if necessary.

6) Use plain text in messages. Sure, HTML messages may look pretty, but everyone can relate much better to plain text, no matter which e-mail program they are using.

7) Whenever possible, reply below the message you receive. When you are replying to someone’s question in an e-mail you received, scroll down to the question they are asking or information they are inquiring about, and post your reply there. For example:

Original e-mail: “James, what is the name of that restaurant you took your client to last week?” Reply: “The Bedford Village Inn”

is much easier to read than:

Reply: “The Bedford Village Inn” Original e-mail: “James, what is the name of that restaurant you took your client to last week?”

8) Check your spelling. Remember that the spell-check feature doesn’t always work in this case, so scan your message visually before sending it.

The search engines love blogs because of the fresh, regular content. So if you are consistent with this method, you will be getting picked up by the search engines more and more.

3. SEO (search engine optimization) is simply the on-page and off-page optimization of a web site. You optimize the content on your site by placing well-researched keyword phrases that target the right audience. With off-page strategies, the idea is to get tons of back-links to your site (from article submitting and a linking campaign) so that you rank well in the search engines. If you can get on page 1 of the search results for your keywords, you will get massive amounts of free traffic.

4. Forum participation gives you the opportunity to ask questions, learn, and also to help other people. If you have a link to your web site in your signature file, not only does this give you back-links to your site, but it also allows people to click through to your site. Make sure that you contribute useful information, rather than blatant advertising.

5. Linking is a campaign of creating links pointing back to your site. One-way links are much better than reciprocal links in terms of ranking with the search engines. So apart from submitting articles with your link in it, you can submit your URL to link directories either manually or with submitter services or software. Or you can approach high-traffic web sites that are related to your niche and ask if they will link to you. The benefit to them is that they have useful content and links to offer their customers. So it's win-win for both of your businesses.

6. Traffic Exchange sites allow you to surf members' web sites in exchange for advertising credits. These credits give you views or visitors to your site. The best use of traffic exchanges is to promote your own compelling lead-capture page to get opt-in subscribers. If your page is short and attention-grabbing, you will get more people signing up to your offer, rather than losing them with a long sales page. Once you build your list, you can follow up until you make the sale, and then consolidate that with back-end sales.

Free ways to make money online usually involve more time and effort. But if you work these methods on a consistent basis, the long term results are often better than the paid methods. And you'll also increase your bottom-line profits by reducing your advertising costs.

Google’s Co-op is coming surprisingly late since Vertical search was hip almost two years ago. What Google has done is enabling specialized search while retaining ownership of the search traffic. Google Co-op allows site owners to choose which Web sources to crawl and let them leverage their community of users to improve that index and results. Web site owners can use the platform to launch specialized search engines focused on the areas of their expertise. Ads will be sold and served through AdSense for Search.

During the presentation for the product’s release, Google executives demonstrated several instances of vertical search sites created during the program’s testing phase. These included a custom search interface for Intuit’s small business portal JumpUp.com and one for a climate science research group, at RealClimate.org. The latter, because of its non-profit status, is not required to carry the AdSense ads that will enable Google to monetize the product. Universities and government organizations are also exempt from ads. All individuals and for-profit entities using the product, however, must accept the company’s trademark sponsored links, and will share in revenue generated by them. The revenue split is the same as that offered across the AdSense network.

Site that want to build a search engine can submit a name, description and list of sites to be crawled for results on their engine-to-be. They then will receive a chunk of code they can use to add the specialized engine to their site.

I agree with Google executives who called Google Co-op one of the company’s most important product releases in Q4. For marketers who buy keywords through AdWords, the vertical search product likely won’t bring short-term changes in the way search audience.

The technology is similar to another customized search product, Rollyo, which launched over year ago; though there are differences between the two. Mainly, Google Co-op is potentially collaborative, meaning site users can take part in creating and improving the engine. It also can be hosted on a Webmaster’s own site and doesn’t require users to navigate to a Google-owned domain. In addition, Google Co-opis monetized with Google’s sponsored links.

7 Web Search Tips for Online Business Owners

Most online business owners are conducting fairly regular web searches. Typically the kind of information that they're seeking include local and national competitors, keyword research, and searches for resources for a particular topic. I recently tried to find a simple tutorial to help my clients conduct better Internet searches. Unfortunately, many of the tutorials that I found were created by academic libraries and provided too much detail and too many options for the simpler kinds of searches that most of us do.

Below are some simple tips to make your online search more effective. Since I do the majority of my searches on Google, some of these tips are Google-specific:

1. Carefully select your search terms. Instead of using broad or general terms that will return thousands of possible sites, try to use terms that are very specific to your topic. One way to narrow your terms is to review relevant sites you've already discovered and identify search terms from those sites.

2. Use quotation marks. If you're seeking a specific phrase, like "Internet marketing coach", enclose the term in quotation marks. Called a forced phrase search, this tells the search engine to return only entries that contain these words in this order. Sometimes searches without the quotes return similar entries, but you could also get an unrelated entry like, "...Internet that makes it easier on marketing for the athletic coach.."

3. Use Boolean operators. Boolean operators are words that allow you to combine search terms in most search engines. The most commonly used ones are:

AND -- AND tells the search engine to find both terms on the same site. For instance, entering "business AND ethics" would instruct the search engine to find web pages that contain both terms, "business" and "ethics." You can also use the '"+" sign for this, as in "business" + "ethics"

OR -- OR tells the search engine to find one term or the other. Entering "business OR ethics" would cause the search engine to look for web pages that contain either the word "business" or the word "ethics," but not necessarily both words. If you use this combination, be prepared for the search engine to return thousands of sites.

NOT -- NOT tells the search engine to find pages that contain the first word but not the second. This instruction is helpful when you know your search term is likely to appear with another term that does not interest you, like "golf NOT cart". You can also use the "-" sign for this, as in "golf -cart".

4. Site search. This helps you search for a phrase on a particular site. The command for this is site:URL "keyphrase". So, if you wanted to search the Houston Chronicle for mentions of Anna Nicole Smith, you would enter the following: site:chron.com "Anna Nicole Smith".

5. Search within a URL. Many times as you're thinking about buying a domain name, you want to find who may be using a particular term as a part of their domain name. Use the inURL code for this. For example, if you wanted to find all the URLs that contained the word "career" in Google, you would enter the following: inurl:career

6. Use a metasearch engine. Instead of trying to search various search engines separately, use a meta search engine. My favorite is Dogpile.com, which searches Google, Yahoo, MSN and Ask.

7. Give yourself a time limit. I've started searches and have had hours disappear in what seems to be minutes. Set up a timer to notify you 15 minutes into your search. You can then determine if you are wasting your time on a particular search strategy, spending too much time or a site, or assess if you need to refocus the search.

So you have built your killer website, signed up with an affiliate program and now all you need is some website traffic to start your sales rolling in. In this article i am going to teach you ways you can get free traffic to your website without paying a dime. The web has numerous amounts of free communities all you have to do is just leave your mark and let the sales start rolling in

1. Writing Articles - This is one of the most effective ways you can start to increase traffic to your website. everyone has an expertise whether you believe it or not . We all have hobbies. Writing an article is not as difficult as it may seem all you have to do is just write like you are taking in person or on the phone with a best friend. Some of the best sites i know of are ezinearticles.com, goarticles.com, servicewarp.com

Write an article that you like and post it to all of the three above. These are by no means all the article websites there are but these sre the major players. ezinearticles.com does not allow for affiliate links to be placed inside the article so you can link your article to a blog and later redirect the reader to a sales page. Please note do not do too much redirecting or your reader will get fed up and leave the site. Go to all three site and publish your articles. Rember to leave your url link in the bio section along with a small comment. JUST DO IT

2. Search Engine Submission - If you have not done so by now you should have . Go to the major search engines and submit you website. Most search engines have a URL submission page this allows the search engine to know about your website and start indexing it. This will allow your website to be picked up by users ewho type in keywords that are in the Meta tag Home Page Title etc of your website. Make sure you submit to the major seach engines like Google, Yahoo Search ,Overture etc

3. Classified Ads - I have used classified sites with alarming success. Classified sites allow you to publish an add based on category the beauty about this is that Google Loves certain Classified Ads site on of which is usfreeads.com, If you write an add with a good keyword (ie one that is searched for alot and have little competition) you will be picked up by Google on their first page free. Just make sure you include the keyword in your ad title

4.Link Exchange - You can ask a webmaster of a high traffic site if he is willing to do a link exchange with you. This helps both you and the webmaster as it increases the amount and quality of backlinks to your site which will result in a higher page ranking at the search engines such as Google. 5.Forum. Post your link in as many forums as you can. remember the whole idea is to get your link as popular as you can. There are many forums what you should do is to tactfully post responses to forum discussion and leave your affiliate or weblink with them. Do not do any outright selling in forums. Most users will just skip over your link but if you make a meaningful contribution to the discussion then they will pay your website a visit.

6. Testimonials- If you have used or experienced a product and you think it is good then you can ask the publisher to place you testimonial on their website then you can leave a link with the permission of the owner of the product. Remember we want to make our link popular.

7.Email Signature. Please do not overlook this one. Add a signature to all outgoing mails with your link. This ensures that everyone you email knows about your website or affiliate link. Most people would be tempted to try the link as most people who you email you probably know you personally.

8. Search Directories - Please not that a seearch engine and a search directory are not the same. Go to search directories and post your url link.

Some webmasters will copy and paste an article into their page and omit text hyperlinks. If you include one link that is simply the url you will be ready for when that happens.

If you submit your article to multiple directories it is a good idea to vary the anchors and links in the resource box.

How to get inspiration and resources to put together a useful article:

Now that you understand the basics behind submitting articles for web promotion it is time to start writing. Where will you get ideas about what to write about? You should start out with ideas from your own website. What is the topic, or theme, of your website? The answer to that question will tell you what to write about. Just remember that you will want those who read your articles to be interested in what you have to offer on the website you are promoting. The purpose of your article will be to attract and keep the readers attention and make them interested in visiting your site.

Resources for article information:

In most cases you will want to gather research and information in preparation for writing your article. One good source for this information is the public domain. Another one of my favorite ways to make extra money is that you can piggyback traffic on sites like Squidoo, Ecademy and Craigslist which have very good rankings in the search engines. You do some keyword research and then create content on these website which have highly targeted affiliate links to your chosen keywords. This is a really easy way to make extra money and your content is usually indexed in a few days on the major search engines

Using these ways to make extra money you could easily be earning six thousand dollars a month in a years time with minimal financial investment and only a few hours of your time a week.

Firstly, content is king. If you keep uploading quality content on your website, its popularity will grow and visitors will keep coming back for more – and they might ask their friends to check out your website too. Your content must be keyword-optimized and you must make it a point to ensure that your website is found on the first search results page when the relevant keywords are searched for. Needless to say, the keywords you employ in your content must be relevant to your website.

There are a whole lot of websites that publish well-written articles; they allow these articles to carry a resource box that talks about you and a links back to your website at the end of each article. Even reprint directories accept articles, and you must submit articles to such sites and then other website publishers may pick up these articles and reprint them on their website, increasing the amount of websites that link back to you. Along with your website, you can publish a blog that carries snippets of the latest and exciting stuff happening at your website. Place a link back to your website after each snippet and this too will increase your back links. This exercise will increase your PageRank (PR) with the Google search engine.

Apart from maintaining a blog, you must post information on relevant forums. Forums are visited by people really interested in a particular topic, and if you come across a forum whose theme and content fits perfectly with your website, then you must make it a point to post on it.
